Refund and Cancellation Policy

1. Overview
This Refund and Cancellation Policy applies to Settlerep's AI receptionist services. Please read this policy carefully before signing a Service Agreement with us.
Important: No services will be provided and no payments will be processed until a Service Agreement has been executed by both parties. All refund and cancellation terms are governed by your signed Service Agreement.
2. Service Agreement Governs
All terms related to refunds, cancellations, termination, and payment obligations are detailed in your signed Service Agreement. This Refund Policy provides general information, but the specific terms in your Service Agreement take precedence.
If you have questions about refunds or cancellations, please refer to Section 8 (Termination) of your Service Agreement or contact us directly.
3. General Refund Policy
3.1 Before Service Commencement
If you have not yet signed a Service Agreement, no payment has been processed and no refund is necessary. You are free to discontinue the signup process at any time before executing the Service Agreement.
3.2 After Service Agreement Execution
Once a Service Agreement has been signed and services have commenced, refund and cancellation terms are governed by your Service Agreement. Generally:
- All fees paid are non-refundable except as specified in your Service Agreement
- Early termination may incur penalties as outlined in your Service Agreement
- Outstanding fees and charges remain due upon termination
3.3 Termination by Settlerep
If Settlerep terminates the Service Agreement for reasons other than your breach (e.g., non-payment, violation of terms, or illegal activity), you may be entitled to a prorated refund for any prepaid fees covering the period after termination, as specified in your Service Agreement.
4. Cancellation Process
To cancel your service, you must provide written notice to Settlerep as specified in your Service Agreement. Typically, this requires:
- 30 days written notice prior to termination
- Payment of all outstanding fees and charges
- Payment of any applicable early termination penalties (if termination occurs before the minimum commitment period)
Please refer to your Service Agreement for the specific cancellation procedures and requirements.
5. Minimum Commitment Period
Most Service Agreements include a minimum commitment period (typically 6 months). If you terminate the agreement before completing this minimum term, you may be subject to:
- Service fees for all completed months
- Notice period fees
- Early termination penalties (typically 50% of remaining monthly fees until the minimum term is completed)
These fees are designed to compensate Settlerep for setup costs, lost opportunity costs, and administrative expenses. Please refer to your Service Agreement for specific terms.
6. Disputed Charges
If you believe you have been charged incorrectly, please contact us immediately. We will investigate the matter and work with you to resolve any billing disputes.
For payment disputes related to Stripe transactions, you may also contact Stripe support or your payment method provider.
7. No Refunds for Services Rendered
Once services have been provided, fees for those services are non-refundable. This includes:
- Monthly service fees for completed service periods
- Upfront fees once services have commenced
- Any additional fees for services already rendered
8. Processing Refunds
If you are entitled to a refund under your Service Agreement, we will process the refund within 30 business days of:
- Receiving your written refund request
- Verifying your eligibility for a refund
- Resolving any outstanding payment obligations
Refunds will be issued to the original payment method used for the transaction.
9. Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to this page. However, changes to this policy will not affect Service Agreements already in effect.
Your Service Agreement terms remain in effect for the duration of your agreement, regardless of any changes to this general Refund Policy.
